Fax RFTA and inspection paperwork to your housing authority
Renting to a tenant with a housing voucher (Section 8)? The housing authority often wants your paperwork by fax. Send it from your browser and keep a receipt for every packet.

Real housing authorities still use fax
Two examples. Your local housing authority may be different, so check its landlord page.
Sacramento (SHRA)
Landlord forms “must be submitted by fax, office drop box, or by mail.”
King County (KCHA)
Lists fax as an option for RFTA packets, and asks landlords not to email these forms because email is not secure.
What landlords fax
- Request for Tenancy Approval (RFTA) packets
- Certification of repairs after an inspection
- Rent increase notices to the housing authority
- Insurance and lender forms
- County and code-enforcement paperwork
How it works
- 1
Get your number
Subscribe and get your own fax number for your office.
- 2
Send the packet
Upload the PDF and type the housing authority's fax number.
- 3
Keep the receipt
Save the delivery receipt. Faxes back arrive in your email.
Before you send
- 1Take the fax number from your housing authority's own website or letter.
- 2Fill in and sign every page they ask for. Missing pages are the most common reason a packet gets sent back.
- 3Only send what they ask for. Fewer pages means less personal information on the line.
Questions landlords ask
- Can I fax my RFTA to the housing authority?
- Often, yes. Many housing authorities list fax as one way to turn in a Request for Tenancy Approval. Check your own housing authority's landlord page for their fax number and rules first.
- How do I prove I sent it?
- Every fax you send gets a delivery receipt that shows when the housing authority's machine received it. Save it with the tenant's file.
- Is email delivery of incoming faxes secure?
- Today, faxes sent to your Business number arrive in your email as a PDF attachment, and you can also open them in your account. Some housing authorities ask landlords not to email these forms because they hold personal information. An option to get a link instead of the attachment is planned but not ready yet.
- Can my team see incoming faxes?
- Right now one person owns the account and gets the emails. You can forward them to your team. Sending to more than one email address is planned.
- Is this HIPAA-safe?
- No. Don't use it for medical records. If someone faxes you a doctor's letter, store it carefully and delete what you don't need.
